How to Get Your Contracting Business Off Spreadsheets.

Not by ripping everything out at once — that's how these efforts fail. The way that works is phased: find the spreadsheet that leaks the most, replace it with software, connect it to your accounting, and repeat. Here's the six-step version.

  1. 01

List every spreadsheet and what it really does

Write down each spreadsheet, sheet and shared doc the business runs on, and what job each actually does — quoting, scheduling, job tracking, invoicing, payroll. You'll usually find the same customer and job data copied across four or five of them. That duplication is the problem you're solving.

  2. 02

Find the one that causes the most pain

Rank them by pain, not size: which spreadsheet causes the most re-typing, the most mistakes, or the most jobs slipping through? That's your starting point. Most contracting businesses find it's quoting or job-to-invoice — where slow, inconsistent work directly costs jobs and cash.

  3. 03

Map how a job really flows, lead to paid

Trace one real job from the first call to the deposited payment — every hand-off, every place data gets re-entered, every step that lives in someone's head. This map is what a custom system gets shaped around, so the software fits your operation instead of forcing you into a generic tool.

  4. 04

Replace one spreadsheet first — not all of them

Move the highest-pain workflow onto software first and prove it in the field before touching anything else. A phased switch means the crew is never asked to change everything at once, and you get a working win early instead of a months-long project. Big-bang rollouts are where these efforts fail.

  5. 05

Connect it to your accounting so nothing is re-typed

Wire the new system into QuickBooks or Sage so invoices, payments and customers flow automatically. This is where duplicate data entry actually dies — the single biggest daily time-saver, and the point at which the books stop being a week behind.

  6. 06

Roll it out, then take the next spreadsheet

Train the team on the one workflow, let it settle, then repeat the process on the next-worst spreadsheet. Over a few phases, the stack of disconnected sheets collapses into one system you own — with a single source of truth for the whole business.

This is exactly how AltaPro AI builds — one phased system shaped around your workflow, wired into QuickBooks, and owned by you. See custom software for trades, weigh the options in custom software questions answered, or read the other guides: custom vs off-the-shelf and integrating QuickBooks.
